Print every certificate for an inspection

Watch it in under a minute (56 seconds), with captions. The steps and screenshots are below.

Why this matters

An inspector can ask to see your staff training. One PDF with every certificate, one per page, is the quickest answer: print it for your food safety folder, or keep it on a tablet to show. Each certificate is in the person's name and has a number anyone can check online.

Step by step

1. Open Team in My Account.

Sign in on goodfoodhygiene.co.uk and open My Account. Team is in the menu.

2. Press Print all certificates.

Near the bottom of the Team page, Your team's certificates says how many finished certificates your team has. Press Print all certificates.

Using the training dashboard instead? Print all certificates is at the top of Your team, next to Add staff. It makes the same PDF.

3. Print it or save it.

The PDF opens with one certificate per page: the person's name, the course, the date they passed, the recommended refresher date and the certificate number with a QR code. Print it, or save it where you keep your food safety records.

4. Just one person's certificate?

Find them on the Team page and press Certificate next to the course.

Where it goes

The certificates stay on the Team page for as long as you have the account, so you can print them again at any time. An inspector can check any certificate at goodfoodhygiene.co.uk/verify by typing its number or scanning its QR code.

Watch out for

  • Only finished courses are in it. A course someone is still doing has no certificate yet. Guide 2 shows how to see who is part way through.
  • More than 60 certificates: one PDF holds the first 60. Ask us if you need the rest in the same file.
  • Someone who has left: their finished training stays on your records, and you can still download those certificates.
  • Certificates are in English, whichever language the course was taken in, on purpose: the person reading them is a UK inspector.
  • Complete membership: GFH Manager has a Print all certificates button on its Training page too.
  • Someone retaking a refresher: their last certificate is still valid, so it's in the PDF until they pass the refresher and get the new one.
